Photo on Fulfillment keeps a picture of what went into each box. The photo belongs to the package, stays private, and can be found on the Package Photos page whenever a customer or a carrier asks what was shipped.
Use this when you want proof of what was packed: a carrier damage claim, a “the box arrived missing an item” call, or a quality check on a packer’s work. Your settings decide whether a photo is asked for, required for some products, or required for every package.

Before You Start

  • Turn it on. An admin chooses the photo requirement in Settings > Shipping under Photo on fulfillment. Until it is on, no photo is asked for.
  • Permissions. Taking a photo needs Pack Orders or Ship Orders. Viewing the Package Photos page needs View Fulfillment. The person who took a photo can withdraw it until the box is fulfilled; after that, and for anyone else’s photo, withdrawing needs Manage Package Photos, which can withdraw any photo at any time. Sending a share link needs Manage Package Photos. Fulfilling a box without its required photo needs Fulfill Without the Required Photo.
  • A camera. A browser with a webcam works at a packing bench. Without one, upload a photo from the computer, or take it with the handheld scanner signed in to the same account.

Settings

In Settings > Shipping, the Photo on fulfillment block holds:
  • Photo requirement. Off, Optional, or Required. Optional offers a photo on every package and requires one only for products flagged Require photo on fulfillment. Required asks for a photo on every package. A pickup never requires a photo.
  • Minimum photos per package. From 1 to 5.
  • Allow bypass. When on, a person with the permission can fulfill a box without its required photo.
  • Bypass requires a reason. When on, the reason is required, at least 10 characters.
  • Keep photos for. How long a photo is kept before it is deleted, or keep photos and never delete them. A warning shows under 60 days, because many carrier claims are filed later than that.
A single station can differ from the company setting: in Settings > Scanners, edit a device and choose its Photo on fulfillment mode. A product can require a photo on its own: turn on Require photo on fulfillment on the product’s overview.

Take the Photo at Packing

  1. Pack the box and open it on the Fulfillment Station, the pack station, or the order’s Fulfillment section.
  2. Click Mark as Fulfilled. When the box needs a photo, the photo step opens after any serial numbers are captured.
  3. Choose Use camera and click Take photo, or choose Upload file. If your scanner is signed in, the step shows Waiting for the device name, and a photo taken on the scanner appears on its own.
  4. Check the thumbnail. To replace a wrong photo, withdraw it and take another.
  5. Click Continue once the box has the photos it needs. The box is then fulfilled as usual.

Fulfill Without the Photo

When the photo cannot be taken (a broken camera, a sealed box), and your settings allow a bypass:
  1. In the photo step, click Fulfill without photo.
  2. Type the reason. It is saved with the package and in the activity log.
  3. Confirm. The box is fulfilled, and it reads Fulfilled without photo with its reason on the package card and on the Package Photos page.
If the button is shown but disabled, you do not have the permission; ask someone who does. If it is not shown at all, the company setting does not allow a bypass.

Find a Box Photo Later

Open Operations > Fulfillment > Package Photos.
  1. Search by order number, customer, SKU, package or tracking number.
  2. Narrow the list with Captured (a date range), and the filters: Photo status (Photo taken, Fulfilled without photo, Photo removed), Customer, Device, Captured by, and the product picker.
  3. Switch between List and Grid to scan rows or see larger thumbnails.
  4. Click a row or a thumbnail to open the photo large, with the order, customer, package, items, the time it was taken, by whom and on which device.
  5. From there:
    • Download saves the photo, named for the package.
    • Copy share link makes a link to that one photo that works for 7 days. Send it to a carrier or a customer for a claim. The link is recorded in the activity log.
    • Withdraw removes a wrong photo with a reason. The photo stops counting toward the box and its image is deleted right away. A Removed tile stays so everyone can see a photo existed, who removed it, when, and why.
The page follows the location chosen in the header. The search, the filters, the page and an open photo all stay in the address, so a saved view or a copied link brings you back to the same place. Export downloads the list as a spreadsheet, without the photos or their links.

Expected Result

Every fulfilled box under Photo on Fulfillment shows either its photos or the words Fulfilled without photo with the reason. The tiles at the top of Package Photos show the share of boxes with a photo, how many were fulfilled without one, and how many shipped without a photo that was required.

Side Effects

  • Taking, withdrawing and sharing a photo, and fulfilling without one, each write an activity log row.
  • Photos are private. A share link shows one photo and stops working after 7 days.
  • A withdrawn photo’s image is deleted when it is withdrawn; the package keeps a record that the photo existed, with the reason. If the delete cannot finish at that moment, it is finished in the nightly cleanup.
  • After the Keep photos for period the photo itself is deleted and the package keeps a record that a photo existed, which reads that it was removed when the photo retention period ended. A photo on an order with an open return or dispute is kept until that is settled.
  • Undoing a fulfillment keeps the photos on the package. Deleting an unshipped package withdraws its photos and deletes their images.

Common Questions

  • The photo step did not open. The box does not need a photo under your settings, or the photo requirement is Off.
  • A thumbnail shows a broken image. Photo links refresh on their own; reopen the photo after a moment.
  • The list is empty. Check the location in the header and clear the filters. Boxes appear here once they have a photo or were fulfilled without one.
