Use Warehouse settings to decide how your company tracks and counts stock. One page holds three switches that change how inventory is counted and picked, plus the list of adjustment reasons that decides which account an inventory adjustment posts to.

Before You Start

  • The breadcrumb reads Settings > Shipping & Fulfillment > Warehouse. You can also reach it by searching for Warehouse in the command palette.
  • You need the settings.edit permission. The Warehouse page is hidden from a role that has only settings.view.
  • Choosing an account for an adjustment reason needs the accounting.view permission as well, because the account list comes from your chart of accounts. Seeing the reason list needs inventory.view.
  • Everything on this page belongs to the company you are signed in to. Another company in the same login has its own switches and its own reasons.

Track Inventory By Warehouse Bin

The Track inventory by warehouse bin switch is off by default.
  • On: products are tracked down to individual bin locations. A product must be assigned to a bin before auto-pack can run, and a purchase order receipt can be put away into a bin.
  • Off: picking works from general location-level stock and no bin assignment is required. Leave it off if you do not use bin locations.
The switch saves the moment you change it and the page shows Saved. The switch is disabled while a save is in progress.

Default New Cycle Counts To Blind Mode

The Default new cycle counts to Blind mode switch is off by default, so new counts start as open counts.
  • On: counters see only the product and an empty quantity box. The variance is revealed to the approver, not to the counter.
  • Off: counters can see the expected quantity while they count.
This is only the starting choice. The person creating a count can change the mode in the create dialog. Counts that already exist keep the mode they were created with.

Auto-Schedule Cycle Counts By ABC Class

When Auto-schedule cycle counts by ABC class is on, Arcus sorts your inventory into A, B and C classes by consumption value, the same way the ABC Analysis report does, and creates cycle counts on a schedule for each class. A items are counted most often and C items least. The counts are created by a nightly job, so a new schedule shows up in the cycle count list the next day, next to the counts you create by hand. The three cadence boxes are disabled until the switch is on: Each box accepts a whole number from 1 to 1095. Choose Save Cadence to save the three numbers together. The master switch saves on its own as soon as you change it, but the cadence numbers do not save until you choose Save Cadence, and the button is disabled while the switch is off.
A value outside 1 to 1095 is pulled back into that range when you save.

Adjustment Reasons

The Adjustment reasons card lists the reasons people can pick on Inventory > Adjustments, and tells Arcus which account each adjustment posts to. A reason names one account for stock counted up and one for stock counted down, so the correct account is used every time without anyone choosing it. Arcus starts every company with six reasons: Cycle Count Variance, Damage / Shrinkage, Write-off (Obsolete / Expired), Revaluation / Cost Correction, Found Stock and Other. Each starts with the account Arcus already used for that kind of adjustment. Other starts with no account, so the person adjusting has to choose one. The table shows one row per reason, including reasons that are turned off:

Add A Reason

  1. Choose Add reason.
  2. Enter a Name. It is required and can be up to 80 characters.
  3. Enter a Code. It is required for a new reason: lowercase letters, digits and underscores, starting with a letter, up to 40 characters. A code never changes once the reason exists.
  4. Optionally change Written on the movement and the journal entry. This is the text printed on the stock movement and on the accounting entry. It defaults to the name.
  5. Choose Used when: Counting up or down, Counting down only or Counting up only. Only the account box that fits is shown.
  6. Choose Counted up posts to and Counted down posts to. You can leave one on Chosen when adjusting.
  7. Optionally turn on Require a note, and enter a Limit before Post Journal Entries is needed. Leave the limit empty for no limit.
  8. Leave On (shown on the adjustment screen) on, then choose Add reason.
The page confirms with Added and the reason’s name.

Edit Or Turn Off A Reason

Choose Edit on a row to open the same dialog, titled with the reason’s name. The code cannot be edited. Choose Save and the page shows Saved with the reason’s name. Use the On switch in the row to turn a reason off or back on. The page confirms with the reason’s name followed by turned off or turned on. A reason is never deleted, because past adjustments name it. A turned-off reason stays in the list and keeps appearing in the history of adjustments that used it.

Cycle Count Variance Is Special

A cycle-count approval posts from the Cycle Count Variance reason, and an approval cannot stop to ask which account to use. For that reason:
  • Its On switch is disabled. Hovering it says: “Cycle-count approvals post from this reason, so it stays on.”
  • Its direction is locked to both ways. The dialog says: “A count can find more or fewer units, so Cycle Count Variance always allows both.”
  • Both accounts are required, and Save stays disabled until you choose them. The dialog says: “Cycle Count Variance must name an account for both directions, because a cycle-count approval cannot stop to ask.”

How The Reasons Reach The Adjustment Screen

  • The account a reason names is shown on Inventory > Adjustments as Posts to before the person submits.
  • Changing that account on the adjustment screen needs Post Journal Entries (accounting.post). The change is recorded in the audit log with the account it replaced.
  • If Require a note is on, the adjustment cannot be submitted without notes.
  • If the adjustment is worth more than the reason’s limit, only someone with Post Journal Entries can post it.
  • A reason with no account makes the person adjusting choose one, and a person without Post Journal Entries is told to ask someone who has it.

What Happens When You Save

  • Accounting: saving settings posts nothing. A reason only decides where future adjustments post. Adjustments already posted keep the account they used.
  • Inventory: changing a switch moves no stock. Turning bin tracking on does not assign any product to a bin.
  • Audit: every add, edit and turn-on or turn-off of a reason is written to the audit log with the settings before and after.
  • Other screens: a change appears for other signed-in people without a reload.

Messages You May See

On the adjustment screen, a reason that is turned off is refused with a message that names the reason and says it is turned off, so pick another reason or turn it back on here. A reason limited to one direction is refused with a message that names the direction it allows.
