# Locations

> Use Locations to add warehouses and other stock locations, set what each one can do, choose the default location, and retire or delete locations you no longer use.

A location is a place your company holds stock or sends from: a warehouse, a returns holding area, a write-off area, a marketplace warehouse, or a vendor who ships for you. Use Locations to add each one, say whether its stock can be sold, whether it ships and receives, and which one is your default. Documents, labels, and receiving all read from these records.

## Before You Start

* You need the **settings.view** permission to open the page.
* You need **settings.edit** to add, edit, set the default, retire, reactivate, or delete a location, and to flip the reorder planning and customer pickup switches. Without it those controls stay on the page but are disabled, and pointing at one shows the reason.
* A location that ships orders needs a contact email on its ship-from address. See [Ship-from address and contact](#ship-from-address-and-contact).

## Open Locations

1. In the deck, open **Settings**.
2. Under **Company**, choose **Locations**.

The breadcrumb reads **Settings > Company > Locations**. You can also arrive from:

* The command palette: type "Locations".
* **Manage locations** in the location switcher in the page header, which appears when your company has no locations yet.
* **Set warehouse address** on a purchase order whose warehouse has no street address.
* **Set address** on the banner at the top of this page, described below.

[Business Profile](/support/settings/business-profile) and [Branding](/support/settings/branding) sit beside it in the **Company** group.

## What You See

Each row of the list is one location, with these columns:

| Column | What it shows |
| - | - |
| **Location** | The name and, when set, its description. |
| **Code** | The short code of up to five characters. |
| **Type** | The type badge. A **System Default** badge marks a location Arcus created for you (used by Returns, Receiving, and Write-off). A **Retired** badge marks a location that is no longer active. A **No reorder planning** badge marks an active location left out of reorder planning. |
| **Ship-from contact** | The contact email and phone on the location's address. When the email is missing, an **Add email** link opens the location so you can add it. |
| **Behavior** | **Sellable** or **Not sellable**, **Ships** for a location that ships orders, and two switches described below. |
| **Default** | A **Default** badge on your default location, and a **Set Default** button on every other active row (a retired row shows two dashes). |
| actions | Retire or reactivate, delete, and edit. |

The two switches in the **Behavior** column apply to active locations only:

* **Reorder** decides whether the location drives reorder planning. On by default. Turn it off to leave the location out of the reorder report.
* **Pickup** decides whether the location is offered as a customer pickup location. Off by default. Turn it on to make the location a Local Pickup choice in the order ship-to picker.

When your company has no locations, the list says "No locations configured".

### The default location has no address

When your default location has no street address, a warning banner reads **Your default location has no address**. Without it, the shipping and billing sections of every document you send (invoices, quotes, sales orders, purchase orders, returns, refund receipts, credit memos, vendor returns) and the company address line on their emails print blank. With **settings.edit**, use **Set address** to open the default location. Without it, ask an administrator to add the address.

## Add A Location

1. Click **Add Location**.
2. Enter a **Name** and a **Code**. The code is turned to capitals and holds up to five characters. Both are required, and **Create Location** stays disabled until both are filled in.
3. Choose the **Type**.
4. Optionally enter a **Description**.
5. Turn **Set as default location** on if this should be your default.
6. Review the three switches: **Sellable**, **Ships From**, and **Receives**. Picking a type sets them to that type's starting values, and you can change any of them afterward.
7. Enter the **Ship-From Address**, a **Contact Email**, and a **Contact Phone**.
8. Click **Create Location**.

Arcus shows "Location created" and the new row appears in the list. Warehouse, Overflow, and Holding locations also get a quarantine bin of their own, which Arcus manages.

### Location types

| Type | Meant for | Sellable | Ships From | Receives |

### What the switches do

* **Sellable**: stock here counts toward Available and can be sold. When off, stock here is still owned and valued, but it never counts as Available, is never allocated to orders automatically, and is never pushed to a sales channel.
* **Ships From**: the location is a shipping origin.
* **Receives**: the location can receive stock.

### Ship-from address and contact

The address field checks the address as you type. The **Contact Email** is required for label purchase on a location that ships: carriers use it for delivery alerts and it is never printed on labels. When **Ships From** is on, the email is empty, and a street is entered, an orange notice reads "USPS rejects label purchase when this address has no contact email. Add one before buying labels from this location." The **Contact Phone** is recommended, and freight pickup scheduling and some international carriers need it.

## Edit A Location

1. Click the pencil on the row. The **Edit Location** dialog opens with the current values.
2. Change what you need. You can change the name, code, type, description, switches, default, address, email, and phone.
3. Click **Save Changes**.

Arcus shows "Location updated". The button stays disabled while the name or code is empty.

## Set The Default Location

Only one location is the default. Its address is the company address printed on your documents and emails, and the ship-from origin for labels and tax.

* On the row you want, click **Set Default** in the **Default** column. Arcus shows "Default location:" followed by the location name.
* Or turn on **Set as default location** when you add or edit the location.

Making a location the default also copies its address to the business address that shipping labels and tax calculation use as the ship-from origin, whenever the location has a street address. That is the same address shown on [Business Profile](/support/settings/business-profile).

## Retire A Location

Retiring hides a location from active pickers but keeps all of its history. Use it for a location you no longer use.

1. Click the retire icon on the row. The **Retire Location** dialog opens and says orders, inventory transactions, and all other history for the location stay intact and the location no longer appears in active pickers.
2. Click **Retire Location**.

Arcus shows the message Location "Main Warehouse" retired (with your location's own name), and the row gets a **Retired** badge. Retiring cannot be done in these cases:

* **The location is your default.** The dialog says "This is your default location. Set another location as default before retiring it." Choose another default first.
* **It is your Holding location and it holds units.** The message names the location and its code, says how many units of returned goods it holds, and reads "so it cannot be retired. Put the units away or record them first."

## Reactivate A Location

On a retired row, click the reactivate icon. Arcus shows the message Location "Main Warehouse" reactivated (with your location's own name) and the location returns to active pickers. Reactivating a Holding location is refused while another Holding location is active.

## Delete A Location

Deleting removes a location for good and is allowed only when nothing references it. Retire the location instead whenever it has history.

1. Click the trash icon on the row.
2. If nothing references the location, Arcus deletes it and shows the message Location "Main Warehouse" deleted (with your location's own name).
3. If something does, the **Cannot Delete** dialog lists each kind of record that references the location and how many there are. Move or resolve those records, or click **Retire Instead** to open the retire dialog for the same location.

System locations have no trash icon, because they cannot be deleted. You can rename or retire them. The message "System locations cannot be deleted. You may rename or retire them." appears if one is attempted.

A location also cannot be deleted when it is your default location ("Set a different default location for this entity before deleting this one.") or the default for any account ("This location is the default for 2 account(s). Reassign those before deleting.", with your own count).

## The Holding Location Rules

An entity has at most one active Holding location, and Arcus protects the stock in it:

* Adding or reactivating a second active Holding location is refused. The message names the existing Holding location and reads "An entity has one active Holding: retire that one first, or keep this location a different type."
* A Holding location that holds units cannot be retired, changed to another type, or made sellable. The message says which, and asks you to put the units away or record them first.

## Messages You May See

| Message | What it means |

| "Location created" | The new location is saved. |
| "Location updated" | The edit is saved. |
| "Default location:" followed by a name | The default changed. |
| "now drives reorder planning" or "removed from reorder planning", after the location name | The reorder switch changed. |
| "is now a customer pickup location" or "is no longer offered for customer pickup", after the location name | The pickup switch changed. |
| "Location" followed by the name in quotes and "retired", "reactivated", or "deleted" | The action finished. |
| "Failed:" followed by a reason | The change did not save. The reason follows the colon. The most common one is a role without **settings.edit**. |
| "Set a different default location for this entity before retiring this one." | You tried to retire the default location. |
| "Retire this location instead." | A delete was refused because records reference the location. |
| "must be true or false (a JSON boolean)", after the field name | A switch value that is not on or off reached the server, for example from an import or the public API. Nothing was saved. |

## What Changes Elsewhere

* **Inventory and sales**: **Sellable** decides whether a location's stock counts as Available, is allocated automatically, and is published to sales channels.
* **Shipping**: **Ships From** locations are the origins for label purchase and the default location's address is the ship-from address for labels and tax.
* **Orders**: a location with **Pickup** on appears as a Local Pickup choice in the order ship-to picker.
* **Reorder planning**: a location with **Reorder** off is left out of the reorder report.
* **Documents**: the default location's address fills the company address on documents and emails.
* **Retire and delete**: retiring keeps every order, stock movement, and ledger line. Deleting is blocked while any exist.
* **Audit trail**: adding, editing, setting the default, retiring, reactivating, and deleting a location are recorded in the Audit Log.
* **Other open sessions**: when another administrator changes a location, your list refreshes to show it.
