# Scheduled Reports

> Email any built-in, catalog, or saved report to your team on a daily, weekly, or monthly cadence, choose the period each send covers, and run, pause, edit, or remove schedules.

Use **Insights > Reports > Scheduled Reports** when a report should arrive in people's
inboxes on a regular cadence instead of being run by hand. Each delivery generates the
report fresh at send time and attaches it to an email as a CSV or PDF file.

You can reach the page from the deck, from the command palette navigation search, or by
choosing **Create a schedule after saving** when you save a report. That last path opens
the page with the schedule form already open and your saved report selected. The same
schedule list also appears at the bottom of **Insights > Reports > Analytics Dashboard**.
**Back to Analytics** at the top of the page returns you to **Insights > Reports > All
Reports**.

## Before You Start

* You need **View Reports** to open the page and see the schedule list.
* Creating, editing, pausing, resuming, running, or removing a schedule also needs **Export Reports**. The buttons show for everyone who can open the page, so without **Export Reports** Arcus refuses the change and shows the reason in an error message.
* Running a schedule for a financial report also needs the permission that report needs, such as **View Accounting**, and a saved report must be one you can see.
* Recipients receive the report attached to an email, so confirm the addresses belong to people who should see that data.
* A report built in the report builder cannot be emailed on a schedule yet. Schedule a built-in report instead, or open, share, and export the builder report by hand.

## Schedule a Report

1. Open **Insights > Reports > Scheduled Reports** and choose **Schedule a Report**. The **Schedule a Report** window opens.
2. Enter a **Name**, such as "Monthly sales summary".
3. Choose the **Report**. Search across built-in, catalog, and saved reports. Each option shows its group and what period it delivers. A badge beside the selection shows whether it is a **Curated** report or one of your **Saved** reports.
4. Choose the **Cadence**: **Daily**, **Weekly**, or **Monthly**. New schedules start as Monthly.
5. Set the **Send time** (24-hour clock; the default is 06:00) and the **Time zone**. Your entity's time zone is the default and is marked "(entity default)". The line under the picker confirms when the report will be sent.
6. For **Weekly**, choose the **Day of week**, Sunday through Saturday. For **Monthly**, choose the **Day of month (1-28)**.
7. For a report that covers a date range, choose the **Period covered**. See the next section.
8. Choose the **Format**: **CSV**, or **PDF (best for reports under 14 columns)**.
9. Enter the **Recipients** as comma-separated email addresses.
10. Optionally add a **Message**. It appears at the top of the email.
11. Choose **Create Schedule**, or **Schedule + Run now** to save and send the first delivery immediately.

The footer shows what still needs attention before you can save:

* **Enter a schedule name.**
* **Choose a report to schedule.**
* **Add at least one recipient email.**
* **Invalid email:** followed by the first address that is not a valid email. Invalid addresses are also listed under the recipients box.
* **Send time must be HH:MM (24-hour).**
* **Reports built in the report builder cannot be emailed on a schedule yet.** when the chosen report is a builder report.

When everything is filled in, the footer reads **Ready to save.** and both buttons turn on.

## Choose the Period Each Send Covers

**Period covered** appears only for reports that take a date range.

* **Follow the cadence** (the default): the cadence decides the period. For a report by day, a daily schedule delivers yesterday, a weekly schedule the previous 7 days, and a monthly schedule the previous full calendar month. For a report by month, a daily schedule delivers the current calendar month, refreshed daily; a weekly schedule the whole calendar month or months that week falls in; and a monthly schedule the previous full calendar month.
* **A named range**: **Today**, **Yesterday**, **Last 7 days**, **Last 30 days**, **Last 90 days**, **Week to date**, **Month to date**, **Quarter to date**, **Year to date**, **Last calendar month**, **Last calendar quarter**, **Last calendar year**, or **Last 12 months**. Reports by month offer only the ranges made of whole months (Month to date through Last 12 months). Arcus works the range out again in your entity's time zone at every send, so a schedule keeps delivering the current one.
* **Fixed dates**: offered when the schedule already carries fixed dates, usually from a saved report. Every send delivers the same period; the cadence controls only how often it arrives. Pick a named range to make the period move.

Reports without a date range deliver their own period: a snapshot as of the send date, the report's trailing period, the current accounting period, or an all-time snapshot. The hint under the report name says which.

  **A saved report can carry its own dates**
  If a saved report pins fixed dates, a schedule that follows the cadence still delivers that same period, and the form says so. Choose a named range to override it for this schedule.

## Read the Schedule List

Each row shows the schedule name, the report, the cadence, the send time with its time
zone, the number of recipients, the next send time, and the result of the last send.
Badges mark a schedule that is **Paused**, one built on a **Saved** report, a **Fixed
period** schedule (hover it to see the dates), and the named range a schedule uses.

When there are no schedules, the page reads **No scheduled reports yet.** and **Schedule
any report to be emailed to your team on a cadence.** If the list cannot load, you see
**Could not load schedules:** with the reason.

### Schedule statuses

* **Active**: Arcus sends the report automatically at the next send time shown on the row.
* **Paused**: the row is dimmed and marked **Paused**. Nothing is sent until you resume it. You can still use **Run now**.
* **last: sent**: every recipient's email went out on the last send.
* **last: partial**: some emails went out and some failed.
* **last: failed** (in red): no email went out, or the report could not be generated or attached.

## Manage a Schedule

Each row has four buttons. Hover a button to see what it does, such as **Generate and email this report now** or **Pause this schedule**.

* **Run now** generates the report and emails it to every recipient immediately, even when the schedule is paused. The regular send times stay on the cadence.
* **Pause** or **Resume** stops or restarts automatic sends. You see **Schedule paused** or **Schedule resumed**.
* **Edit** opens **Edit Scheduled Report** with the same fields. Choose **Save**, or **Save + Run now**.
* **Remove** asks you to confirm "Remove schedule" with the schedule's name, then deletes it. You see **Schedule removed**.

## Messages You May See

* **Schedule created** or **Schedule updated**: the schedule saved.
* **Report sent to 3 recipients (120 rows)**: a run finished. If some emails failed, the message adds how many, such as ", 1 failed".
* **Failed to save schedule**, **Failed to run report**, **Run failed**, **Update failed**, or **Delete failed**: the change did not go through. When Arcus knows why, the reason follows the message.
* **Report is too large for email delivery. Use the full-dataset export instead.**: the attachment is too big to email. Narrow the period or export the report from its own page.
* **This report cannot be delivered as a PDF (too many columns or rows to render legibly). Switch the schedule to CSV, or use the full-dataset export.**: change the Format to CSV.
* **Report could not be generated**: the report itself failed for that period. The reason is shown in brackets.
* **This AI-generated report is not verified yet.**: an AI-generated saved report must be verified before you schedule it to other people. You can still schedule it to yourself.

## What Happens When a Report Is Sent

* **Email**: each recipient receives an email with the report attached as CSV or PDF, the report name, date, row count, and your message. Each delivery also carries a note of the period and settings it was generated with.
* **Last result**: the row updates its last result and next send time.
* **Audit trail**: creating, changing, removing, and running a schedule, including automatic sends, are recorded in **Organization > Audit Log**.
* **No record changes**: running a report reads your data. It does not post, move stock, or change any record.

## Common Scenarios

### The report arrived with the same dates every time

The schedule has **Fixed period** dates, usually inherited from a saved report. Edit the
schedule and choose a named range or **Follow the cadence** under **Period covered**.

### The report arrived at an unexpected time

Check the time zone on the row. The send time is read in the schedule's time zone, which
defaults to your entity's time zone rather than your own.

### I cannot pick a report

Reports built in the report builder show "not yet schedulable (custom builder)" and cannot
be selected. Schedule a built-in or catalog report that covers the same data.

### My changes are refused

Scheduling needs **Export Reports** in addition to **View Reports**. Ask an owner or admin
to review your role.
